The process
How an agency runs ten client accounts
Set up once per client, then production runs. The only recurring step is approval — and you can switch it off per account once a client trusts you.
Onboard a client in minutes
You enter the client’s website address. PostExpert reads the site and fills in brand name, industry, description and audience automatically — including a logo suggestion and brand colour. You refine instead of filling in a questionnaire.
Set the strategy per client
Format mix across reels, feed and stories in percent, tone from factual to entertaining, the client’s own content pillars, and the split between client material, AI and stock. Every account has its own settings.
The AI produces
From that context come ideas, images, reels, captions and hashtags — in the client’s brand voice, with their logo, scheduled in their time zone.
You approve
In approval mode the scheduler publishes nothing by itself: at the scheduled time the post moves to “needs approval” and you get a reminder by e-mail about an hour beforehand.
Publish and reply
The approved post goes live on Instagram automatically. If you want, the AI handles comments too — either directly or as a draft you review before sending.

Nothing goes live without approval
New accounts start in approval mode. The scheduler creates and times the post but does not publish it — it puts it up for approval. That is the promise you can put in a client contract.

What PostExpert is not, for an agency
So you do not spend thirty days testing only to find something missing at the end: this does not exist, and it is not promised as coming.
No white-label version
PostExpert stays PostExpert. No custom domain, no swapping logo and colours in the interface, no agency-branded client reports.
No logins for your clients
There is one login per account — yours. No client login, no roles, no approval links going outward. Approval happens on your side, not in a tool at the client’s.
No team seats
Several colleagues share the same login. If you need separate user accounts with their own permissions, this is the wrong tool.
One Instagram account belongs to exactly one PostExpert account
A client profile cannot sit with you and with the client at the same time. Handing it over later is possible, but it runs through our support rather than at the push of a button.
No report export
You see insights in the app. There is currently no PDF or CSV export for the client deck.
Instagram only
No LinkedIn, no TikTok, no Facebook. If you publish across channels you will still need a second tool alongside.
FAQ
Questions from agencies
What agencies ask us most often before they start.
How many Instagram accounts can I manage as an agency?
Basic includes 1 account, Pro 3 and Ultra 8. Beyond that you add as many extra accounts as you like — on Ultra for €5 per account per month, on Pro for €10. There is no hard ceiling.
Is there a white-label version of PostExpert for agencies?
No. No custom domain, no swapping logo and colours, no agency-branded reports. Your clients never see the interface anyway — they see the result on Instagram.
Does my client need their own login?
No, and they could not get one. There is exactly one login per account and it is yours. Client logins, roles and permissions do not exist. You approve inside your own account — the conversation with the client stays on whatever channel you already use.
Can a post go live without my approval?
Not in approval mode. Every new client account starts there: the scheduler creates and times the post but does not publish it, moves it to “needs approval” at the scheduled time and sends you a reminder about an hour before. Only if you deliberately switch an account to automatic does a post go out unapproved.
How quickly is a new client account set up?
Brand context is pre-filled from the client’s website: you enter the URL, PostExpert reads the page and suggests brand name, industry, description, audience, logo and brand colour. After that you set format mix, tone and rhythm. The rest happens on the first generation run.
Won’t all my clients end up sounding the same?
No, because nothing is shared. Each client account has its own brand context, its own tone split, its own content pillars, its own logo overlay and its own media pool. The accounts know nothing about each other.
How many posts per month are included?
The budget depends on the plan and the number of accounts, and is pooled across all of them. On Pro that is 72 posts per month with 3 accounts. On Ultra there is no ceiling — for agencies that is usually the deciding factor.
Can I hand a client account over to the client later?
An Instagram account is always tied to exactly one PostExpert account; it cannot be in two places. Handover is possible but runs through our support rather than by yourself in the app. Plan it in advance rather than needing it on cancellation day — [drop us a line](kontakt) and we will sort out the process beforehand.
What happens if a client leaves and I downgrade?
Accounts above the new plan limit are locked, not deleted. Content, settings and media stay; the oldest accounts keep the seats. Upgrade again and they are immediately back.
Is automating Instagram even allowed?
Publishing through Meta’s official Instagram interface is allowed and is exactly the route PostExpert takes. What is risky is automated following, mass likes and interaction bots — PostExpert stays away from those. Is there an API for agency automations?
Yes, on Ultra. The public REST API knows accounts, posts and your own usage, authenticates via API key or OAuth 2.0 client credentials and allows 60 requests per minute per key. It can be called straight from n8n, Zapier or Make.
Can I try it first?
Yes, 30 days free, on every paid plan and once per customer. Cancel before it ends and nothing is charged. For a realistic test, set up two very different client accounts right away.
