For hospitality
Instagram for restaurants — reach the guests in your neighbourhood
Between lunch and dinner service there is no half hour for a post. PostExpert turns the shots that happen in the kitchen anyway into a running content plan — published at meal times, in your venue’s time zone. What is not possible is spelled out further down.

The problem
The dining room is full. The feed has been empty since April.
In hospitality Instagram never fails for lack of material — it fails on timing. Whoever is holding the best plate of the day at 12:15 certainly has no hand free for a caption.
The window collides with service
The moment worth posting is exactly the moment nobody has time. At eleven at night the photo is still there; the occasion is not.
It hangs on one person
Usually the owner does it between services, or a server who is good at Instagram. If they are out, the account stops — and the tone changes with every staff change.
Always the same question in the comments
“Are you open on Sunday?” sits under every other post. It gets answered somewhere around midnight, once the guest has booked elsewhere.
PostExpert solves the timing part: you collect footage whenever it suits, publishing still happens at meal times. Here is how a post comes together.
Do the maths first
How many photos do you need per shift?
A weekly plan is abstract — “two photos per lunch shift” is not. Enter your numbers and see whether that happens alongside service or whether you need someone on it.
With food you should go high. AI imagery never shows your dish — it invents one.
Estimate honestly: what actually happens alongside service, not what would be possible.

That happens alongside service. One photo of the plate before it goes out — that is all the plan needs.
The Pro plan carries this frequency.
Calculates from your input only. Simplified: one image is used once for a post; a photo reel consumes several at once. Prices are net, excl. VAT.
The process
From plate to post, without anyone stopping
Set it up once; after that the work is: shoot when it suits, and approve.
Let it read your venue
You enter your website address. PostExpert reads it and suggests name, cuisine, description and audience — plus logo and colour. That becomes the basis for the tone of every later caption.
Set time zone and time of day
Your venue gets its own time zone and one fixed publishing time. If you want the lunch crowd, set 11:30 — every post lands there, no matter when it was created.
Define your topics
Today’s special, behind the scenes, the team, guests, the drinks list. Topics like “today’s special” go to “own media only” — then AI imagery never shows up there.
Collect footage
Photos of the plate, from the kitchen, of the empty dining room in the morning. Several at once, assigned straight to a topic. Image optimisation lifts light and colour without changing the dish.
Approve and publish
The post waits for your approval or goes out automatically. While approving you add the location tag in one tap. Questions about opening hours are answered by the AI from your knowledge base.
The difference from a scheduling tool: you upload only the photo, not the finished post. All the building blocks: Features.
Local
Location, time zone and the language your guests use
A restaurant lives off its radius. So three things matter here: that the post appears at meal times, that it carries the location, and that someone answers in the language the question was asked in.
- Its own time zone per venue — the time is right wherever the server sits
- Location tag on the post, added when you approve it in the queue
- The comment AI replies in the language of the comment — German, Italian, English
- Trend research is preconfigured for the DACH region
- A rejected location never blocks the post: it goes out without the tag

Your material
The phone photo of the plate becomes a post
The AI actually looks at your shot — subject, light, colours, visible detail — and writes caption and hashtags from it in your house’s voice.
- Image optimisation lifts light, colour and sharpness without changing the dish
- Topics on “own media only”: never an invented subject for today’s special
- Photo reels from three to six of your images, cut to licence-free music
- Caption in your language, freely editable before publishing
- Logo and house colour on every image, optionally

Comparison
The venue account: by hand versus PostExpert
What shifts — and what explicitly stays in the house.
| Step | By hand | With PostExpert |
|---|---|---|
| Photo of the dish | You take it | You still take it — otherwise the AI invents a foreign dish |
| Caption | At eleven at night, if at all | Generated from the actual image, in the house voice |
| Hashtags | The same as last post | Matched to the subject, fresh each time |
| Publishing time | Whenever there is a gap | A fixed time in the venue’s time zone |
| Location tag | Forgotten on the phone | One tap while approving in the queue |
| Reels | Never quite happens | Photo reels from your images, cut to the beat |
| Consistency | Hangs on one person | Keeps running even when that person is on holiday |
| Opening-hours questions | Answered around midnight | AI answers from your knowledge base, in the language asked |
| Languages | German, English at a push | Reply in the language of the comment |
| Reporting | Gut feeling | Reach, saves and top posts per period |
The kitchen, the footage and the decision about what gets shown stay with you. PostExpert takes over the production around it.
Plans
Which plan fits your venue?
For a single venue what matters is how many posts per week are included and how many topics you may run. Pro is the right entry point for most businesses — it is also where the comment AI starts.

The full side-by-side is on the pricing page. Several venues run as several accounts from one login — each with its own time zone, topics and opening hours.
Several venues
Restaurant, hotel bar and bistro from one login
Each venue is its own account with its own time zone, topics, media library and knowledge base. That is deliberate: the bistro’s opening hours do not belong in the hotel bar’s replies.
- Pro includes 3 accounts, Ultra 8 — more from €5 per account per month
- Its own time zone and publishing time per venue
- Its own opening hours in each venue’s knowledge base
- Reporting per venue or across all of them
- If you also run other people’s venues, [For agencies](fuer-agenturen) is the better entry point

Straight answer
What PostExpert is not, for hospitality
The local part in particular invites assumptions. So here, unvarnished, is what does not exist — before you test for thirty days and then miss it.
No table reservations
There is no connection to OpenTable, Resmio, Quandoo or TheFork, no availability check and no calendar. The AI can reply to a booking request but cannot book a table or confirm a time.
No menu in the system
There is no dish, price or menu as a record. “Today’s special” is done as a topic set to “own media only”, or as an individually scheduled post — nothing is pulled from a menu.
Location search depends on a Meta approval
Instagram does not accept a freely typed place name, only a Facebook Page with a stored address. Searching for it needs a separate approval from Meta; until that is granted the app reports location search as not yet available. A location that gets rejected at publish time never blocks the post — it simply goes out untagged.
No default location tag
You cannot store the location once on the account. Automatically generated posts are created without one and get it when you approve them in the queue. Stories cannot carry a location at all.
No story stickers
No polls, question boxes or countdowns. “Which dish should go on the menu next week?” as a poll only works by hand in the Instagram app — the official interface does not allow stickers.
No Google Business Profile
No connection to Google Maps or your business profile, no reviews, no syncing of opening hours. You keep maintaining that there.
No Facebook posting
Publishing happens on Instagram only. A connected Facebook Page is read purely to supplement statistics — posts do not go out there.
One fixed time per venue
Publishing automatically at noon and again in the evening is not possible: there is one publishing time per account. Individual posts can be moved by hand.
Direct messages only on Ultra
On Basic and Pro the AI does not answer direct messages. On Ultra it does — within Meta’s 24-hour window and without being able to book a table.
FAQ
Questions from hospitality
What restaurateurs ask us most often before they start.
Can PostExpert post my daily special automatically?
There is no menu in the system to pull from — a dish is not a record. In practice you create a topic called “today’s special”, set it to “own media only” and weight it up. PostExpert then uses only your uploaded photos for those slots and writes the copy around them. Upload the photo of today’s plate in the morning and it is the lunchtime post. If a photo is missing, the slot is skipped rather than filled with an invented dish.
Does my venue get tagged as the location?
You add the location while approving in the queue, one tap per post — there is no default location on the account, and automatically generated posts start without one. Worth knowing: Instagram does not accept a freely typed place name, only a Facebook Page with a stored address; searching for it needs a separate Meta approval and reports as not yet available until then. If a location is rejected at publish time the post still goes out — just untagged. Stories cannot carry a location at all.
Does the AI answer questions about opening hours?
Yes, that is the most common case. You enter opening hours, closing day, contact details and typical questions as free text in the knowledge base; PostExpert also reads your website once. The AI answers from that — in the language the question was asked in. If the answer is not there it invents nothing and points to the website instead.
Can it book a table too?
No. There is no connection to a reservation system, no availability check and no calendar. The AI can reply to a request and point to the usual route — by phone, through your website or by direct message — but it does not confirm a time and books nothing.
What time does it publish?
You set one fixed time and your venue’s time zone, and every post lands there. For the lunch crowd people typically set 11:30. What is not possible: publishing automatically at noon and again in the evening at different times — there is one time per account. Individual posts can be moved by hand in the queue.
Can the AI generate images of my dishes?
No. AI imagery comes from your description and shows a plausible but invented dish — never yours. For food that is the wrong route, which is why topics like “today’s special” go to “own media only”. What the AI does do with your photos: it lifts light, colour and sharpness without changing the dish itself.
How many photos do I need per week?
Each uploaded image is used once for a post. At five posts a week with 80 percent own footage that is four images — across six open days, less than one a day. The calculator above turns that into the number that matters in service: photos per open day.
Can I post to Facebook as well?
No, publishing happens on Instagram only. If your Facebook Page is connected to the Instagram account, only statistics are pulled from there. For Facebook posts you will still need another route.
Can I run a poll in a story?
Not automatically. Polls, question boxes and countdowns are stickers, and Instagram’s official publishing interface does not allow them — for any tool. Stories with a photo or video go out automatically; you add the sticker yourself in the app if you need one.
I have two venues. How does that map?
Each venue is its own account with its own time zone, publishing time, topics, media library and knowledge base — one house’s opening hours should not show up in the other’s replies. Pro includes 3 accounts, Ultra 8; more cost from €5 a month. Each venue has to be set up individually; a configuration cannot be copied.
Can a post go live without my approval?
Only if you set it up that way. New accounts start in approval mode: the post is created and timed, but at the scheduled moment it is put up for approval, with an e-mail reminder about an hour before. That is also where you add the location tag.
Is automating Instagram allowed?
Yes, as long as publishing goes through Meta’s official interface — which is exactly what PostExpert does. What is problematic is automated following, mass likes and interaction bots; PostExpert stays away from those. The article [Automating Instagram: what’s allowed](blog/instagram-automatisieren-leitfaden) covers it in detail.

Photograph the plate before it goes out, for one week
That is the honest test: create a “today’s special” topic, upload one photo every lunchtime for a week and look at what is sitting in approval. If it does not sound like your house, you have lost nothing.
