Instagram for retail stores — your second shop window

The people who would buy from you don’t all walk past your shop window — but they do scroll Instagram in the evening. PostExpert turns the photos that happen in your store anyway into a running feed: the AI handles caption, hashtags and timing. What it can’t do is stated openly further down.

The problem

The store is beautiful. But only people standing in front of it see it.

In retail, Instagram never fails for lack of material — every delivery, every restyled shelf would make a post. It fails because the best time to post falls right in the middle of opening hours.

You’d have to post when the store is full

The customer at the till always comes first — rightly so. But the post that was going to happen “afterwards” never happens after locking up, tidying and ordering.

New stock arrives, the photo never happens

Unboxing, pricing, shelving — the moment new stock deserves a photo gets lost in the routine. Two weeks later it’s inventory, not news.

Questions come in the evening, answers the next day

“Are you open Saturday?”, “Do you have this in a medium?” — people ask after closing time, while scrolling. You answer in the morning. By then they’ve bought elsewhere.

PostExpert solves the timing part: photos happen whenever it suits you — publishing still happens when your customers are scrolling. How a post is created, in detail.

Calculate first, then buy

How many photos do you need per opening day?

A weekly plan is abstract — “one photo per opening day” is not. Enter your numbers and see whether it fits between the till and the goods-in door.

That happens on the side. One photo while unboxing the delivery or redoing the window — that’s all it takes for the plan to run through.

The Pro plan covers this frequency.

Calculates with your inputs only. Simplified: one image is used once per post; a photo reel consumes several at once. Prices net, plus VAT.

How it works

From goods-in to the feed, without leaving the store

Set it up once; after that the work consists of taking photos whenever it suits, and approving.

01

Let it read your store

You enter your website address. PostExpert reads it and suggests your range, description and audience — including logo and colour. That’s the foundation for the tone of every later text.

02

Set time zone and publish time

Your store gets its time zone and a fixed publishing time. To reach the after-work scrollers, set 6:30 pm — every post will land there, no matter when it was created.

03

Define your topics

New stock, shop window, team, behind the scenes, recommendations. Topics like “new stock” you set to “own media only” — a fabricated AI visual will never appear there.

04

Collect photos

One photo while unboxing the delivery, one of the finished window display, one of the table with the new arrivals. Upload several at once, assigned straight to a topic — the retouching adjusts light and colour.

05

Approve and publish

The post waits for your approval or goes out automatically. When approving, you set the location tag with one tap. Comments about opening hours are answered by the AI from your knowledge base.

The difference from a scheduling tool: you only upload the photo, not the finished post. All the building blocks in detail: Features.

Your stock

The photo of the new arrival becomes a post

The AI actually looks at your photo — product, colours, material, visible details — and writes caption and hashtags in your store’s voice. Not “New in ✨”, but a text that fits the piece.

  • Caption generated from the actual image, freely editable before publishing
  • Hashtags matched to the subject, fresh every time
  • Retouching adjusts light, colour and sharpness without changing the goods
  • Photo reels from three to six of your images, cut to royalty-free music
  • Logo and store colour optionally on every image

Local

Location tag, opening hours and your customers’ language

A store lives off its neighbourhood. So everything here hangs on three things: that the post carries the location, that it appears at the right time — and that someone answers in the language the question was asked in.

  • Own time zone per store — the time is right no matter where the server is
  • Location tag on the post, set when approving in the queue
  • The comment AI replies in the language of the comment — German, Italian, English
  • Trend research comes preconfigured for the DACH region
  • A rejected location never blocks the post: it goes out without the tag

Plans

Which plan fits your store?

For a single store, what matters is how many posts per week you get and whether the AI answers comments too. Pro is the right entry point for most shops — that’s also where the comment AI lives.

Each branch is its own account with its own time zone, topics, media library and knowledge base. That’s deliberate: the city-centre branch’s opening hours don’t belong in the flagship store’s answers.

  • Pro includes 3 accounts, Ultra 8 — more from €5 per account per month
  • Own time zone and own publishing time per branch
  • Own opening hours in each branch’s knowledge base
  • Analytics per branch or across all of them, as you prefer

Honestly speaking

What PostExpert is not, for retail

Anyone coming from the world of store software assumes a lot automatically. So here, unvarnished, is what doesn’t exist — before you test for 30 days and then miss it.

No connection to inventory or till systems

There is no stock as data, no sync with your POS system and no availability check. The AI doesn’t know what’s in stock — and therefore never claims to.

No Instagram Shopping

No product tags, no shopping tags, no in-post checkout. The Meta permissions for it were never requested. The post shows the goods — buying happens in the store or in your web shop.

No clickable links in posts

Posts and stories can’t carry a clickable link — Instagram’s publishing API doesn’t allow it, for any tool. The route to your web shop remains the link in bio.

No AI images of your goods

AI visuals are generated from a description and show a plausible but invented product — never your range. That’s why you set topics like “new stock” to “own media only”. Your photos are only retouched, never altered.

No sale automation

Topics don’t carry a date — a promotion starting on Friday is announced as a manually scheduled post. The automatic part runs the ongoing feed; deadline campaigns remain manual work.

Location search depends on Meta approval

Instagram doesn’t accept a freely typed place name, only a Facebook Page with a stored address. Searching for it requires separate approval from Meta; until granted, the app reports location search as not yet available. A rejected location never blocks the post.

No Google Business Profile

No connection to Google Maps or your business profile, no reviews, no syncing of opening hours. You keep maintaining that there — for “open now” searches it remains the most important tool.

No Facebook posting, no story stickers

Publishing happens exclusively on Instagram; a connected Facebook Page is only read for statistics. Polls and countdown stickers in stories aren’t allowed by the official API for any tool.

One fixed time per store

Automatically posting mornings and evenings at different times isn’t possible: there is one publishing time per account. Individual posts can be moved to a different time by hand.

Direct messages only on Ultra

On Basic and Pro the AI doesn’t answer direct messages. On Ultra it does — within Meta’s 24-hour window and with the same limits: no stock information, no reserving goods.

Frequently asked

Questions from retail

What shopkeepers ask us most often before starting.

Is Instagram even worth it for a local store?

As a second shop window: it shows your range and your store to people nearby who aren’t walking past right now — in the evening, while scrolling, when buying decisions take shape. What Instagram doesn’t replace: your Google Business Profile for “open now” searches, and foot traffic. It complements both — and it’s the one channel where a small store can visually hold its own against the big chains.

Does the AI know what I have in stock?

No, and it doesn’t pretend to. There is no connection to inventory or till systems — to “Is this still available?” or “Do you have it in a medium?” the AI never answers yes or no, but politely points to the store, the phone or the website. Anything else would be guessing, and guessed answers cost trust.

Can I tag products in the post or sell directly?

No. Instagram Shopping — product tags, in-post checkout — is not connected; the Meta permissions for it were never requested. Clickable links in posts aren’t allowed by the official API either. The post makes the goods visible; buying happens in the store or via the link in bio.

How many photos do I need per week?

Every uploaded image is used once for a post. With four posts per week and 75 per cent own photos, that’s three images — across six opening days, one photo every other day. The calculator above turns that into the number that matters in store routine: photos per opening day. Goods-in is the natural photo moment.

Can the AI generate images of my goods?

No. AI visuals are generated from your description and show a plausible but invented product — never your range. For goods that’s the wrong route, which is why you set topics like “new stock” to “own media only”. What the AI does with your photos: it adjusts light, colour and sharpness without changing the product.

Will my store be tagged as a location in the post?

You set the location tag when approving in the queue, one tap per post — there is no default location on the account. Instagram doesn’t accept a freely typed place name, only a Facebook Page with a stored address; searching for it requires separate approval from Meta and reports as not yet available until then. A rejected location never blocks the post.

Does the AI answer opening-hours questions?

Yes, that’s the most common case. You store opening hours, location, parking and typical follow-up questions as free text in the knowledge base; PostExpert additionally reads your website once. From that, the AI answers — in the language the question was asked in. If the answer isn’t in there, it invents nothing and points to the website.

At what time is content published?

You set a fixed time and your store’s time zone, and every post lands there. For retail, early evening is typical — that’s when customers who work during the day are scrolling. What’s not possible: mornings and evenings automatically at different times. Individual posts can be moved by hand.

Can I announce a sale or a promotion?

Yes, but as a manually scheduled post: you create it yourself with image, text and date, and it goes out at the chosen moment. What doesn’t exist is campaign automation — topics don’t carry a date; the automatic part of the plan takes care of the ongoing feed, not deadlines.

I have two branches. How do I set that up?

Each branch is its own account with its own time zone, publishing time, topics, media library and knowledge base — one branch’s opening hours shouldn’t appear in the other’s answers. Pro includes 3 accounts, Ultra 8; more cost from €5 per month. Each branch is set up individually; a configuration can’t be copied.

Does a post go live without my approval?

Only if you set it that way. New accounts start in approval mode: the post is created and scheduled, but presented for approval at the planned time, with an email reminder about an hour before. That’s also where you set the location tag.

Is automating Instagram allowed?

Yes, as long as publishing runs through Meta’s official API — which is exactly what PostExpert does. What’s problematic is automated following, mass likes and engagement bots; PostExpert stays away from all of that. The details are in the article [Automating Instagram: what’s allowed](blog/instagram-automatisieren-leitfaden).

Photograph the next delivery before it goes on the shelf

That’s the most honest test: create a “new stock” topic, take five photos at the next goods-in and watch for a week what lands in your approval queue. If it doesn’t sound like your store, you’ve lost nothing.
