Schedule posts

Scheduling Instagram posts — until they schedule themselves

Scheduling posts in advance is a solved problem — partly even free. What costs you the evenings isn’t the calendar; it’s the posts that have to go into it. This page puts the three routes honestly side by side, including the one where the calendar fills itself.

The basics

What “scheduling posts” actually solves — and what it doesn’t

Scheduling decouples two moments that never coincide: the moment you have time and the moment your audience is scrolling. That’s worth a lot — but it’s only half the work.

The time shift is the real win

Posts are made whenever it suits you and appear when your people are online — reliably, even in the week you have no time. Random posting becomes a rhythm, and rhythm is what grows accounts.

Scheduling is not creating

A calendar is filled in ten minutes — with dates. The posts for those dates are the actual evening work: idea, text, hashtags, image, for every single slot. If you only schedule dates, you postpone that work — you don’t save it.

Officially supported, no trick

Scheduling runs through Meta’s official API — the same one Meta Business Suite uses. It’s allowed, documented and stable; it has nothing to do with bot tricks.

Which time of day is right is covered in The best posting times. And if you really just want a free calendar, Meta itself provides one — the honest comparison is here: Meta Business Suite alternative.

Three columns compare scheduling Instagram posts: by hand in the app or Meta Business Suite, with a scheduling tool, with a production tool that creates posts itself.
All three routes publish via the same official Meta interface. The difference is not the calendar but who makes the post.

How it works

From an empty calendar to a running plan

This is what scheduling looks like when the posts come included: set up once, then photograph and approve.

01

Set time and time zone

Your account gets a fixed publishing time in your time zone. Every scheduled post appears there — regardless of when it was created.

02

Define your topics

Instead of individual dates you plan topics: offers, team, behind the scenes, reference work. From those, PostExpert builds the plan week after week — you decide the direction, not every Tuesday.

03

Upload photos

Several images in one go, assigned straight to a topic. The AI writes caption and hashtags for every scheduled post from the actual image.

04

Approve — or let it run

New accounts start in approval mode: every post is presented to you before its date, with an email reminder about an hour before. If you trust the automation, you switch approval off.

The difference from a plain calendar: you don’t line up finished posts — they are created for their date. All the building blocks in detail: Features.

The schedule

Fixed time, fixed rhythm — even in a full week

Consistency is the whole point of scheduling: an account that runs for three weeks and goes silent for two starts over every time. The weekly plan keeps the pace when you can’t.

  • Weekly plan built from your topics, created and scheduled automatically
  • Fixed publishing time in your account’s time zone
  • Email reminder about an hour before every scheduled post
  • Individual posts can be moved to a different time by hand
  • Up to 6 posts per week on Pro, 2 on Basic

The topics

You don’t schedule the date — you schedule the topic

The empty calendar asks every week: “So what are you posting on Tuesday?” Content pillars answer that once — and the plan draws from them, in the ratio you set.

  • Three to five topics are enough: offers, behind the scenes, team, reference work
  • Weighting controls how often each topic appears
  • Topics set to “own media only” never show an AI visual
  • If an own photo is missing, the slot is skipped rather than filled
  • For the full structure: the content calendar page, further down

The post

The post for the date is created along with it

This is the difference between scheduling and having it scheduled: each date comes with a finished post — caption and hashtags from your actual photo, in your brand voice, editable before publishing.

  • Caption from the actual image, in the brand voice from your website scan
  • Hashtags matched to the subject, fresh every time
  • Retouching adjusts light and colour without changing the subject
  • Photo reels from your images, cut to royalty-free music
  • Everything stays editable before publishing

Honestly speaking

What scheduling can’t do — with any tool, or with this one

Some limits come from Instagram itself, some are deliberate product decisions. Both belong on the table before you test for 30 days.

One fixed time per account

The automatic plan publishes at one time per account — alternating mornings and evenings automatically isn’t possible. Individual posts can be moved by hand to any other time.

No story stickers

Polls, question boxes and countdowns aren’t allowed by Instagram’s official API for any tool. Scheduled stories carry an image or video; you add the sticker yourself in the app if needed.

No clickable links in posts

Posts and stories can’t carry a clickable link — an Instagram limit, not a tool shortcoming. The route to your website remains the link in bio.

No Facebook posting

Publishing happens exclusively on Instagram. A connected Facebook Page is only read for statistics.

AI visuals never show your product

Generated images come from a description and show invented scenes. For everything real, you set topics to “own media only” — then only your photos appear there.

No campaign dates on topics

Topics don’t carry a date. A sale starting on Friday is scheduled as an individual post by hand — the automatic part takes care of the ongoing feed, not deadlines.

Plans

What having it scheduled costs

The difference between the plans is frequency, the number of accounts and the comment AI. Pro is the right entry point for most.

Frequently asked

Questions about scheduling Instagram posts

The questions that come up most before scheduling — answered honestly.

Can I schedule Instagram posts for free?

Yes. Meta Business Suite schedules posts and stories for Facebook and Instagram free of charge — officially and solidly. The difference to PostExpert isn’t the calendar but what comes before it: in the Suite you create every post yourself (idea, text, hashtags, image); with PostExpert the posts are created automatically from your topics and photos. The full comparison: [Meta Business Suite alternative](meta-business-suite-alternative).

How far in advance should I schedule?

A rolling week is the best compromise for most accounts: far enough ahead for peace of mind, close enough to react to current events. Scheduling months ahead sounds efficient but produces posts nobody means anymore by the time they appear. That’s why PostExpert plans week by week and keeps topping the plan up.

When is the best time to post?

There is no universal best time — the studies of the big tool providers contradict each other because every audience scrolls differently. What works: starting values (see the diagram above), then four weeks of measuring your own account. The protocol is in [The best posting times](blog/beste-posting-zeiten-instagram).

Do I lose reach if a tool posts for me?

Publishing runs through Meta’s official content publishing API — the same route Meta Business Suite uses. Meta provides that API expressly for third-party tools; scheduled posts aren’t penalised across the board. What decides reach is the response to the post — not how it was uploaded.

Can I put an individual post at a specific time?

Yes. The automatic weekly plan uses your account’s fixed publishing time; individual posts can be moved by hand in the queue to any other time — say, the announcement that needs to go out at 9 am instead of 6:30 pm.

Can I schedule stories and reels too?

Stories with an image or video: yes, automatically — only stickers like polls aren’t allowed by Instagram’s API for any tool. Reels: photo reels from three to six of your images are created and appear in the plan automatically. How that works: [Auto-create Instagram reels](instagram-reels-automatisch-erstellen).

What happens to the plan when I’m on holiday?

It keeps running and draws from your photo stock. If your account is set to automatic publishing, everything goes out as planned; if it’s set to approval, the posts wait — and approving works from your phone on the beach, if you want.

Does a scheduled post go live without my approval?

Only if you set it that way. New accounts start in approval mode: the post is created and scheduled, but presented for approval at the planned time — with an email reminder about an hour before.

How many posts per week make sense?

As many as you can sustain — consistency beats frequency. Three posts a week for months beat seven across two ambitious weeks followed by silence. Basic carries 2 posts per week, Pro up to 6; what matters more is how many of your own photos keep coming.

Is automatic publishing allowed?

Yes, as long as it runs through Meta’s official API — which is exactly what PostExpert does. What’s problematic is automated following, mass likes and engagement bots; PostExpert stays away from all of that. In detail: [Automating Instagram: what’s allowed](blog/instagram-automatisieren-leitfaden).

Schedule next week by hand for the last time

The most honest test: create topics, upload twenty photos and watch for a week what the plan makes of them — every post waits for you in approval mode. If it doesn’t sound like you, you’ve lost nothing.
